AB SiteSafe is a sole trader health and safety documentation service based in the United Kingdom. We provide bespoke H&S documents including COSHH assessments, risk assessments, method statements, H&S policies, compliance audits, and toolbox talks for tradespeople and small businesses.

2. What Information We Collect
We collect information that you provide to us directly when enquiring about or purchasing our services. This may include:

- Insurance policy details (for RAMS and method statement documents)
We do not collect sensitive personal data (such as health records or financial information) unless it is directly necessary for the H&S documentation you have requested.
3. How We Use Your Information
We use the information you provide solely to deliver the services you have requested. Specifically, we use it to:
- Produce bespoke H&S documentation tailored to your business and working practices
- Communicate with you about your order, revisions, and delivery
- Issue invoices and maintain our financial records
- Improve the quality and relevance of the documents we produce
We will not use your information for marketing purposes without your explicit consent, and we will never sell or pass your data to third parties for commercial purposes.
4. Use of AI-Assisted Tools
To improve responsiveness and reduce administrative time, AB SiteSafe uses AI-assisted tools to help process correspondence and prepare documents. Specifically:
- Incoming and outgoing emails may be processed by Anthropic's Claude AI to classify enquiries, extract key details (such as company name, site address, and service requested), and draft suggested replies.
- All AI-assisted drafts and classifications are reviewed by Alexander Banister before any reply is sent. AI does not send communications autonomously.
- Sensitive categories — including accidents, injuries, RIDDOR matters, HSE correspondence, legal disputes, and insurance claims — are always reviewed and handled manually. They are never auto-processed or auto-replied to.
- Data submitted to AI services is processed transiently to generate the requested output and is not used by the AI provider to train models, in line with Anthropic's commercial terms.
- You may opt out of AI-assisted processing at any time by emailing absitesafe@outlook.com. Opting out will not affect the service you receive — it will only mean your correspondence is processed manually.
5. Legal Basis for Processing
We process your personal data on the following lawful bases under UK GDPR:
- Contract performance — processing is necessary to fulfil the service you have purchased or enquired about
- Legitimate interests — to maintain records, communicate about your order, and improve our service
- Legal obligation — to retain financial records as required by HMRC
6. How Long We Keep Your Data
We retain client records, including completed documents and intake information, for a period of six years from the date of the last transaction. This aligns with the Limitation Act 1980 and HMRC record-keeping requirements.
After this period, records are securely deleted or destroyed.
7. How We Store and Protect Your Data
Client information is stored on password-protected devices and, where applicable, in secure cloud storage. Completed documents are delivered via encrypted email or secure file transfer. We do not store client data on unsecured or publicly accessible systems.
We take reasonable technical and organisational measures to prevent unauthorised access, loss, or misuse of your data.
8. Sharing Your Information
We do not share your personal data with any third parties except in the following limited circumstances:
- Where required by law or a regulatory authority (e.g. HMRC, a court order)
- Where you have explicitly asked us to send documents to a third party on your behalf (e.g. a principal contractor)
